Introduction

Welcome to Loopwave

Loopwave turns a single WhatsApp number into a shared team inbox. Instead of one phone passed around the office, your whole team logs in to a clean web dashboard, sees every conversation in one place, and replies together — with each reply signed by the agent who sent it.

Loopwave is self-owned software. You run it on your own server, under your own license key, with your own database. Your conversations never pass through anyone else’s cloud.

What Loopwave gives you

Multi-number inbox

Link several WhatsApp numbers and work them all from one unified inbox.

Team access & roles

Admins configure everything; agents handle conversations. Every reply is attributed.

Number masking

Hide customer phone numbers from agents while admins keep full visibility.

Labels & private notes

Organize chats with labels and leave internal notes your customers never see.

Templates & quick replies

Reusable canned responses with {{name}} and other variables.

Tickets

Turn conversations into trackable tickets — manually or automatically.

Broadcasts

Send paced bulk messages with built-in anti-ban throttling.

Auto-reply automations

Keyword, welcome, and catch-all auto-replies with anti-ban guards.

Analytics

Message volume, resolution rate, and per-agent performance.

Webhooks & API

Stream events out, and drive Loopwave from your own code.

What Loopwave is — and isn’t

Loopwave is built on a direct WhatsApp connection (you link your own number by scanning a QR code, exactly like WhatsApp Web). It is not the official WhatsApp Business Cloud API and does not require Meta approval, message templates, or per-message fees. That freedom comes with responsibility — read Outreach Best Practices before you send at scale.

Loopwave gives you auto-reply automations — rule-based replies triggered by keywords, first contact, or every message. It is not a conversational AI agent, and it deliberately ships with anti-ban guards so automated replies stay human-paced.

For integrations, Loopwave provides webhooks and a REST API. You can connect Loopwave to virtually any tool — a CRM, a spreadsheet automation, a workflow builder — by subscribing to webhook events and calling the API. There are no per-vendor connectors to configure; if a system can receive a webhook or make an HTTP request, it can talk to Loopwave.

How a conversation flows

  1. A customer messages your number

The message lands in your shared inbox in real time and (optionally) opens a ticket.

  2. An agent picks it up

The chat can be assigned to an agent, labeled, and answered with a template.

  3. Automations help where useful

A welcome auto-reply or keyword reply can respond instantly, within safe limits.

  4. The chat is resolved

Mark it resolved, and it drops out of the open queue. Analytics track the outcome.
